JOB POSITION: Sales and Event Coordination

JOB SUMMARY

  • The Special Events Sales Coordinator is responsible for the coordination and execution of special events for LAZY GOURMET EVENTS.

  • It is anticipated that this position will successfully manage up to approximately 5 – 10 events per month.

  • Applicant should live up to the Lazy Gourmet Values and Standards, have honesty, integrity, loyalty, professionalism, and be a team player.

DESCRIPTION OF DUTIES

  • Essential Functions

  • Manages all aspects of private events from the first inquiry call, through the planning and execution phases, concluding with the final billing of the program.

  • Responds to group inquiries, fulfills collateral requests, services site inspections, processes group confirmations, updates and manages database.

  • Sells and/or up sells the services of the in-house catering and rentals company (Lazy Gourmet and Lazy Gourmet Rentals).

  • Coordinates the implementation of special events to assure smooth execution, including working with internal departments, staffing and budgeting.

  • Cost analasis of each event.

  • Conducts site visits to special event customers as well as assist with site visits for other departments.

  • Works closely with staff to ensure that event timeline is developed and communicated to the appropriate people.

  • Develops custom menus to suit client’s needs and venue location with Executive Chef and Special Events Team.

  • Coordinates distribution of event order and all follow-ups.

  • Supports the Event Sales Manager in meeting event attendance and revenue goals.

  • Supporting Functions

  • Assist Event Sales Manager in event sales efforts; assist in pro actively developing and initiating sales leads.

  • Building prospective client base through site inspections, regular visits to clients offices and selling over the telephone and in person directly.

  • Representing Lazy Gourmet Events & Rentals at trade shows and charitable events if assigned these duties by the Event Sales Manager.

  • Be prepared to assist in developing visitor packages that appeal to reciprocal companies, DMCs, and corporate groups.

  • Cross train within department to back up team members in maintaining office organizations systems, accurately maintaining reservations database (Event and Rentals Calendar and any additional inventory and sales programes installed), and preparing monthly reports on special events.

  • Miscellaneous duties as assigned by supervisor

  • Position Requirements

  • Minimum of University education.

  • Minimum of two years of increasing responsibility and experience coordinating special events and/or destination marketing.

  • Excellent verbal and written communications skills in English and Spanish.

  • Creativity, enthusiasm and poise, with professional appearance and demeanor at all times, particularly with clients and their guests.

  • Excellent relationship-building skills, including the ability to negotiate positive outcomes and to work well with diverse people.

  • Ability to sell and up-sell events and group sales.

  • Proficient in the use of personal computers in a networked PC environment, intermediate skills in Microsoft Office Suite. Experience updating and maintaining databases.

  • Proficient knowledge of use of social media to inform, promotes, and publicizes Lazy Gourmet Events.

  • Ability to juggle many aspects of a project at one time, prioritize and meet deadlines.

  • Routinely available to work additional hours, evenings and weekends when necessary.

  • Attend trade shows and product events.

  • Ability to be active and mobile on location for extended periods of time.

  • Have the ability to lift and carry boxes and decoration pieces.

  • Hands on participation in the set up stages of your events.

  • Current driving License

  • Own car / valid insurance

  • Telephone

  • Personal lap top or I pad

  • Current FM2 o FM3 status

We will assist to prepare necessary paperwork corresponding to job offer. Applicant will be responsible for financial charges incurred in application and renewals. A draw may be made from forthcoming salary if assistance is required.
